# inhand for hotels

**Hotel meetings and events software.** Be first back to every events enquiry. Conference and celebration enquiries in events@, drafted with your day delegate rates. Bedrooms stay with reservations.

- **Who it’s for:** Hotel meetings and events teams who handle function room, conference and celebration enquiries by email and phone.
- **What it does:** Drafts every reply in your shared events@ mailbox, keeps provisional holds ranked with expiry dates and takes deposits through Stripe.
- **Where it stops:** inhand runs events, not bedrooms. Rooms, room rate management and group blocks stay in your hotel systems.
- **What it costs:** Drafting and the system are free. Agents are a paid upgrade, licensed per venue.

## One events@ inbox, every hotel enquiry drafted.

Illustrative example: a hotel’s shared events@ mailbox with six enquiries, each drafted with the day delegate rate.

| Before | With inhand |
|---|---|
| One events@ inbox, many hands | A draft in the thread before anyone opens it |
| Provisional holds nobody chases | Holds ranked with expiry, followed up |
| DDRs buried in old threads | Your DDRs and packages in every quote |
| Bedroom questions in the mix | Bedrooms left clearly for reservations |

## What changes for a hotel events team

- **Drafts in your shared mailbox.** Outlook or Gmail, with your DDRs and packages.
- **Holds that keep themselves.** Ranked options with expiry dates, and challenges when needed.
- **Deposits and invoices.** Stripe links with your hotel as the merchant, VAT and PO numbers.
- **Ready for your IT team.** An “Ask your IT admin” kit for Microsoft 365 consent.

## Example

Illustrative example: a hotel away-day draft with the day delegate rate and a placeholder for reservations to confirm bedrooms.

> Thank you for your enquiry. The Garden Suite is free on 3 and 4 March for 40 delegates, with two breakout rooms, and I’ve held both days as a second option until Friday. Our day delegate rate is attached. For bedrooms on the 3rd, [reservations to confirm].

## Frequently asked questions

### Does inhand manage bedrooms or group blocks?

No. inhand is built for meetings and events. Rooms, room rate management and group blocks stay in your hotel systems.

### What about residential conferences?

inhand drafts the meetings and events part. Where an enquiry also asks for bedrooms, the draft leaves a clear placeholder for your reservations team.

### Does it work with our shared events@ mailbox?

Yes. Shared mailboxes on Microsoft 365 and Google are supported. The person connecting needs Full Access to read one and Send As to send from it.

### Our IT team approves Microsoft 365 access. How does that work?

inhand includes an “Ask your IT admin” kit: an admin consent link, an email template to send them and a tracker that shows when access is approved.

### Do we still need our sales and catering system?

inhand keeps its own events diary, mirrored to Google or Outlook calendars. It does not connect to hotel sales and catering systems. Talk to us about how hotels run the two side by side.

### Does it work with day delegate rates?

Yes. inhand learns your day delegate rates and packages from your own email and asks you to confirm them before any draft uses them.
