# inhand for historic and heritage venues

**Heritage and museum venue hire software.** Look after the building. We’ll draft the replies. Formal terms, careful replies and a diary everyone trusts. Every draft in your voice, sent by you.

- **Who it’s for:** Museums, galleries, theatres and historic buildings that hire out spaces for dinners, receptions and events.
- **What it does:** Drafts careful replies with the right terms for each space, keeps one trusted diary and leaves every sensitive decision to a person.
- **How it’s different:** You can run it fully supervised: a person ticks everything, and the free drafter never sends.
- **What it costs:** Drafting and the system are free. Agents are a paid upgrade, licensed per venue.

## Venue hire for historic buildings, with your terms kept.

Illustrative example: five venue hire enquiries for a historic venue, each drafted with the terms for the space requested.

| Before | With inhand |
|---|---|
| Strict terms, retyped every time | Your terms, from what you accepted |
| Trustees wary of AI | Five decisions always come to a person |
| A small team, a steady flow | A ready draft for every enquiry |
| One diary, many departments | One diary, mirrored to your calendars |

## What changes for a heritage venue

- **The right terms, every time.** Several sets of terms, each confirmed by you before use.
- **People decide.** Supervised mode: a person ticks everything that goes out.
- **A diary everyone trusts.** Ranked holds with expiry dates, mirrored to Google or Outlook.
- **Clients see only you.** Your venue’s name on every email and every client page.

## Example

Illustrative example: a careful draft for a historic venue, attaching the terms for that space.

> Thank you for thinking of the Long Gallery. It takes 120 for a standing reception, and our terms for gallery events are attached. Could you share your preferred dates so I can check the diary? [confirm September availability]

## Frequently asked questions

### Our trustees are cautious about AI. What stays with people?

Complaints, money back, changes to confirmed bookings, fraud and security, and legal duties always go to a person. In Supervised mode a person ticks everything before it goes.

### We have different terms for different spaces. Can inhand cope?

Yes. inhand learns each set of terms from your own mail and asks you to confirm them before any draft uses them.

### Does inhand say when AI is involved?

Yes. The phone agent says it is an AI assistant in its first sentence, and every email inhand drafts or sends carries a machine-readable mark that AI wrote it.

### Where is a heritage venue’s data kept?

Customer content is stored and processed in the UK, apart from a short list of named services set out in the privacy policy. Hire Space never receives your email, messages or calls.

### Must we let inhand send emails on its own?

No. The free drafter never sends, and agents act only in the mode you choose. Many venues start with Supervised.

### Who sees our clients’ details?

Your team, within the roles you set. Clients only ever see your venue’s name, and no Hire Space staff can access your account unless you grant time-limited, logged access.
